NORDIC NIGHTS TERMS & CONDITIONS Please note that this set of terms and conditions applies to shared party nights only. For exclusive bookings, a separate set of terms and conditions applies, tailored specifically to those events. If you are booking an exclusive event, please refer to the exclusive booking terms and conditions provided with your booking confirmation. If you have any questions or require clarification regarding exclusive bookings, please contact Secret Door Events Ltd directly. 1.0 GENERAL TERMS 1.1 Nordic Nights is a trading name of Secret Door Events Ltd, a company incorporated and registered in England and Wales with company number 1941423170 whose registered office is at Corner Cottage, Knaresborough Road, Little Ribston, Wetherby LS22 4ET 1.2 The rental agreement is includes the hire of all equipment and services provided by Secret Door Events Ltd for Nordic Nights during the Event, as agreed between Secret Door Events Ltd and the Hirer prior to the Event. 1.3 By paying the deposit, it is deemed that you and all guests in your group have agreed to the terms and conditions outlined in this document. It is the responsibility of the person making the booking ("the Hirer") to ensure that all guests are aware of and comply with these terms. 2.0 BOOKINGS, TABLES, AND PAYMENT TERMS 2.1Each ticket grants entry to Nordic Nights and must be booked as part of a full table. Tables vary in size (typically seating between 8 and 14 guests), and full table bookings are required. The Organiser is responsible for the full payment of the allocated table, even if fewer guests attend. Table sizes are subject to availability and will be confirmed upon booking. 2.2 Ticket pricing for Nordic Nights 2025 is as follows: Midweek nights (Thursday): £69 + VAT per person Weekend nights (Friday & Saturday): £79 + VAT per person 2.3 Table configurations at Nordic Nights vary by layout. We will work with the Organiser to allocate tables based on availability at the time of booking. Table sizes generally seat 8–12 guests, with limited options for larger parties. 2.4 Table locations are allocated at the time of booking. Floorplans are available on request. Multiple tables can be booked for larger groups, subject to availability. 2.5 A non-refundable, non-transferable 25% deposit is required to secure your booking. This deposit is payable at the time of booking. 2.6 The remaining balance must be paid in full by 30 September 2025. Failure to make payment will result in the booking being cancelled, and the deposit will not be refunded. th 2.7 If guest numbers reduce after booking, deposits are non-refundable or transferable and refunds for reduced guest numbers will not be issued.2.8 We recommend confirming your expected guest numbers at the time of booking. For any changes or queries, contact Secret Door Events Ltd directly, in writing. 2.9 Table allocations at the time of booking will be honoured to the best of Secret Door Event Ltd ability. Changes may have to be made in certain circumstances. All changes to table allocations shall be communicated in writing with the organiser prior to the event. Guests will not, as standard, be mixed with other parties to fill tables. 2.10 For new bookings made after 20th September 2025, full payment is required at the time of booking. 2.11 All payments are non-refundable and non-transferable and cannot be applied to other goods or services. 2.12 Any booking amendments must be confirmed in writing and are subject to approval by Secret Door Events Ltd. 2.13 Nordic Nights is primarily an adult event for guests aged 18 and over. However, guests aged 16 &17 may attend under the strict supervision of the Organiser and must not consume alcohol at any time or in any area of the premises. It is the Organiser’s responsibility to ensure all guests adhere to these terms. 2.14 Final guest numbers must be confirmed by 30th September 2025, when the final balance is due. 2.15 Digital tickets will be emailed once full payment has been received, closer to the event date. It is the responsibility of the Organiser to distribute these tickets to their guests. Guests must present digital tickets upon arrival to gain entry and when using a bar tab. 3.0 CANCELLATION AND EVENT CHANGES 3.1 If the booking is cancelled at any time by the Organiser, the 25% non-refundable deposit will be retained by Secret Door Events Ltd to cover administration costs and loss of earnings. The booking is non-refundable and non-transferable. 3.2 Following payment of the deposit, if tickets are cancelled before the final balance is due on 20th September 2025 (whether the balance has been paid or not), the following charges will apply: i. No final balance payment due if tickets are cancelled before 1st August 2025 ii. 50% of the remaining balance due if tickets are cancelled after 1st August 2025 and before 1st September 2025 iii. 75% of the remaining balance due if tickets are cancelled after 1st September 2025 and before 30th September 2025 iv. Full balance due if tickets are cancelled after 30th September 2025 3.3 Nordic Nights cannot accept responsibility for any weather conditions that may affect attendance, including but not limited to icy roads, heavy snow, or other adverse weather. In such circumstances, bookings remain non-refundable and nontransferable.3.4 Secret Door Events Ltd reserves the right to cancel, postpone, or reschedule the event date or time. If the event is cancelled before it takes place, no refunds will be issued, but an alternative date will be offered. No refunds or alternative dates will be provided for cancellations made during the event. 3.5 Secret Door Events Ltd does not accept liability for any cancellation, delay, or noncompletion of the event due to circumstances beyond its control. This includes, but is not limited to, strikes, riots, fire, flood, extreme weather, or other events that make it unsafe or impossible to proceed. In such an event, no refunds will be issued. 3.6 Secret Door Events Ltd accepts all bookings in good faith but reserves the right to make changes to the advertised programme, if necessary. We regret that we cannot be held responsible for errors, omissions, or cancellations. 3.7 Secret Door Events Ltd reserves the right to evacuate guests from the venue and close the event earlier than scheduled if required due to fire, extreme weather, or other safety concerns beyond our control. 3.8 Any changes to the event prior to it taking place will be communicated via email (to the address provided at booking) and/or via Secret Door Events Ltd’s official social media channels. It is the responsibility of the person making the booking to check for updates regularly. 3.9 Refunds will not be issued for non-attendance at the event and the ticket is not transferable to other goods or services. 4.0 LIABILITY FOR PERSONAL BELONGINGS 4.1All personal property brought to the Event, including but not limited to coats, bags, wallets, mobile telephones, cameras, and vehicles, shall remain at all times the sole responsibility of the individual owner. Secret Door Events Ltd shall not be held liable for any loss, theft, misplacement, or damage to personal belongings, however caused, whether arising from the use of the manned coat check facility or otherwise, including but not limited to instances of items being mistakenly taken by another guest. 5.0 TOILET FACILITIES 5.1 Nordic Nights is a pop-up, pre-booked event, and temporary male and female toilet facilities will be provided. If anyone in your group requires accessible facilities, please notify Secret Door Events Ltd in writing no later than 20th September 2025 to allow time to make arrangements for additional accessible toilets. 6.0 PHOTOGRAPHY AND VIDEOGRAPHY 6.1 Photographs and videos may be taken by Secret Door Events Ltd during the event for promotional and marketing purposes across our website and social media channels. If any member of your group prefers not to appear in any footage, it is the Organiser’s responsibility to notify Secret Door Events Ltd in writing at least two weeks before your event date. 6.2 If a guest sees a photo or video of themselves on Secret Door Events Ltd’s social media and would like it removed, they should notify us in writing and we will action this promptly.7.0 ENTRY AND BEHAVIOUR 7.1 Secret Door Events Ltd operates a strict zero-tolerance policy in relation to illegal drugs and controlled substances. Security personnel and/or authorised event staff reserve the right to search guests and their personal belongings at any time during the Event, including but not limited to clothing, bags, and other items. Any individual found to be in possession of illegal substances or other prohibited items will be refused entry to, or removed from, the venue and may be reported to the relevant authorities. 7.2 Secret Door Events Ltd reserves the right to refuse entry to, or remove from the Event, any guest whose behaviour is deemed inappropriate, unsafe, or disruptive to the enjoyment or safety of others, at the discretion of the security team or authorised event staff. No refunds shall be issued in such circumstances. 7.3 Guests are responsible for any damage caused to the venue, its equipment, or property. Secret Door Events Ltd reserves the right to seek compensation for damages and may pursue legal action if necessary. 8.0 ENTERTAINMENT 8.1 Secret Door Events Ltd reserves the right to control noise levels of any entertainment at Nordic Nights, whether organised by us or external performers in accordance with council guidance. 9.0 MENU 9.1 Nordic Nights features a set menu with a dietary alternative. We work with trusted, external caterers to provide high-quality meals. While we aim to deliver the menu as advertised, it may be necessary to make changes due to supplier availability or unforeseen circumstances. 9.2 Dietary requirements and allergies (medical, cultural, or otherwise) must be submitted via the Nordic Nights dietary form no later than 1st November 2025. If we do not receive dietary information by this date, the standard Christmas menu will be served. 10.0 BEVERAGES 10.1 Nordic Nights operates a strict Challenge 25 policy and will not serve alcohol to anyone under 18. We reserve the right to request ID from anyone who appears under 25. Guests unable to provide ID may be asked to leave the venue if they attempt to consume or possess alcohol. 10.2 Guests are strictly prohibited from bringing their own beverages to the Event. Any guest found in possession of unauthorised alcohol or beverages may be removed from the venue, along with their entire party, and no refunds shall be issued. Beverages purchased at the Event must not be taken off the premises. 10.3 Pre-orders for drinks must be paid in full in advance before 1st November 2025 unless otherwise agreed with Secret door Events Ltd. 10.4 Any issues with drinks orders must be raised with a staff member during the event so they can be addressed straight away. We recommend bringing your drinks invoice as proof of purchase. Issues raised after the event cannot be resolved.10.5 A bar tab can be opened prior to or during the event under the company or organiser’s name. If the bar tab is to be paid on the night, it cannot be opened or used until a debit or credit card is securely left behind the bar as a guarantee, unless the tab has been prepaid in advance. The individual who opens the tab is responsible for settling the full balance before leaving the event. The card held as a guarantee will be returned once the tab is fully paid. Secret Door Events Ltd reserves the right to charge the card if the tab remains unpaid. 10.7 A welcome drink is included in the ticket price. This complimentary drink cannot be exchanged for an alternative; both alcoholic and non-alcoholic options may be offered. Any additional drinks are not included in the ticket price unless otherwise stated. Please refer to your booking confirmation for full details. 10.8 The bar at Nordic Nights operates as a card-only service. Please inform your guests in advance. Refer a Friend – Terms & Conditions 1.Eligibility The offer is open to anyone who has made and paid a booking for Nordic Nights Christmas Parties 2025. A unique referral code will be issued to the lead booker once their booking has been confirmed. 2.How it works Share your referral code with friends or colleagues. If someone books a table for 8 guests or more using your referral code, both their booking and yours will receive one complimentary ticket. The complimentary ticket will be applied as a discount against the final balance invoice for each booking. 3.Limitations Only one referral code may be used per new booking. Complimentary tickets are limited to one per booking, per referral. Referral codes cannot be applied retrospectively to existing bookings. 4.General Secret Door Events Ltd reserves the right to amend or withdraw this promotion at any time without prior notice. The complimentary ticket has no cash alternative and is non-transferable.
